Full-Time Ward Clerk/Receptionist - Centennial Manor

Centennial Manor has an opening for a permanent full-time Ward Clerk/Receptionist. This is a non-unionized position reporting to the Home Administrator.  The primary function of this position is to provide reception and clerical support in the administration office. Promote customer service and a positive public image with the residents, families, visitors, contractors and community partners.

Guiding Principles:

Reception:
•    Perform reception duties and direct inquiries from Residents, visitors, and team members appropriately.
•    Monitor a multi-line telephone system and direct all incoming telephone calls appropriately.
•    Monitor all contractor and business professionals entering Hastings Quinte Long Term Care and ensure sign-in process is followed and visitor passes are issued.
•    Assist with resident admissions during vacations and period of absence. 
•    Provide personal assistance to Residents as required. 
•    Closing of discharged resident accounts.
•    Other duties as assigned
Administrative Support:
•    Provide administrative support to include data entry, typing letters and reports, updating spreadsheets, presentation publishing.
•    Prepare correspondence to be sent via internal courier to the County Building 
•    Prepare and process Medical Director and Physician on-call billing
•    Coordinate booking of meeting and conference rooms for interdisciplinary care conferences.
•    Sort, pick up, deliver and distribute all facility mail. Resident mail picked up and sorted
•    Maintain Resident files, keep information up to date.
•    Renew and update Resident health cards.  Provide support to family on canceling health card.
•    Update records for pictures and email communications. 
•    Ensure Resident and Family Information Centers have been updated information.
•    Update and keep current Resident Display TV 
•    Perform N95 fit testing for team members 
•    Support administration team with family and resident communication. 
•    Prepare admission charts and packages 
•    Provide support to scheduling team as needed
Cash Handling and Administration:
•    Review resident charges to billing
•    Prepare documents and forms for bank deposit, upon completion provide appropriate documentation to treasury.
•    Administer multiple cash boxes, inclusive of: 
o    Receive and receipt Resident maintenance payments;
o    Process deposits, invoices, and withdrawals of funds from Resident trust accounts as outlined by the Resident’s Power of Attorney’s signature. 
o    Balance and replenish Resident trust cash box including the computer documentation for reimbursement daily.
o    Sell meal tickets to team members and family members and administer petty cash reimbursements for staff ensuring related cash box balances.
o    Record sales, maintain records and make deposits for Tuck Shop. 
•    Courier documents to the County Departments on a daily/weekly basis
Health and Safety:
•    Immediately report and document all incidents of alleged, suspected, or witnessed abuse or neglect of a resident in accordance with the Fixing Long-Term Care Home Act, 2021 and home policies and procedures. 
•    Follow the Occupational Health and Safety Act and County Policies at all times.
•    Be aware of and follow emergency response procedures including all practice drills. 
•    Be accountable for the delivery of high quality, safe, and reliable care along with a safe working environment to ensure and protect the health and safety of those who use and deliver the programs and services provided by Hastings Manor. 
•    Works in a safe manner in accordance with the Occupational Health and Safety Act, associated regulations, other applicable legislation, County policies and procedures, and guidelines

MINIMUM QUALIFICATIONS AND EXPERIENCE:
•    Two-year diploma in Office Administration or similar business-related certificate; or Diploma in a Healthcare discipline.
•    Must possess a current valid Driver’s License and have personal transportation.
•    One year experience in an office environment.
•    Proficient computer skills in Microsoft Office.
•    Well-developed customer service skills with strong interpersonal skills, patience and the ability to effectively communicate with residents, the public and staff. Team Members
•    Must be organized and detail-oriented.
•    Must be able to work well both independently and in a team.
•    Demonstrated ability to remain focused on tasks with numerous interruptions.

HOURS OF WORK:
-35 hours per week, days
-Occasional overtime may be required for project completion.

WAGE RANGE:         $43,978-$51,449, with excellent fringe benefits
