Scheduling Clerk - Full-Time

Hastings Manor has an opening for a permanent full-time Scheduling Clerk. This is a non-unionized position reporting to the Administrative Coordinator.  The primary function of this position is to prepare, post and maintain team member schedules for Hastings Manor.


DUTIES:

Guiding Principles:
•    Practice and uphold the mission, vision, values of Hastings/Quinte Long-Term Care services that focuses on a person-centered care philosophy.
Team Member Scheduling:
•    Prepare and post bi-weekly team member schedules in accordance with union contracts and maintain master schedules.
•    Ensure daily staffing requirements are met for all departments to ensure adequate program delivery can be maintained. 
•    Grant approval and replacement requests for statutory holidays, vacations, leaves of absence, etc., and ensure appropriate documentation is received.
•    Review scheduling exceptions and approve or correct for payroll. 
•    Schedule team members for various training and development programs.
•    Receive doctor certificates and sick leave request forms and forward them to the appropriate clerk.
•    Ensure offers of modified work are presented to employees who have experienced a workplace incident and advise Administrative Associate.
•    Other related duties as assigned.
Administrative Support:
•    Receive medical certifications and payment request forms to be forwarded accordingly. 
•    Request job postings for unfilled positions. 
•    Conduct offers for temporary or permanent positions based on the collective agreement and forward recommendations to appropriate department leader with all applicable documentation. 
•    Submit change notices to Human Resources Department for status changes pertaining to team members. 
•    Collect and review job posting applications and complete job offer process in accordance with the applicable Collective Agreement.
•    Answer team member general inquiries regarding schedules, vacation, sick absences, positions in accordance with the Collective Agreement.
Health and Safety:
•    Immediately report and document all incidents of alleged, suspected, or witnessed abuse or neglect of a resident in accordance with the Fixing Long-Term Care Home Act, 2021 and home policies and procedures. 
•    Be aware of and follow emergency response procedures including all practice drills. 
•    Be accountable for the delivery of high quality, safe, and reliable care along with a safe working environment to ensure and protect the health and safety of those who use and deliver the programs and services provided by Hastings Manor.
•    Works in a safe manner in accordance with the Occupational Health and Safety Act, associated regulations, other applicable legislation, County policies and procedures, and guidelines.
MINIMUM QUALIFICATIONS AND EXPERIENCE:
-Three year Post secondary school diploma in Office Administration, Business or related program.
-Minimum one year’s scheduling experience in a unionized 24/7 work environment.
-Proficient computer skills including Microsoft Word, Excel and Outlook.
-Strong clerical skills with the ability to prioritize and work efficiently and accurately.
-Strong interpersonal skills, patience and the ability to effectively communicate with staff.
-Ability to work with numerous interruptions.
-Capable of working with minimal supervision.

HOURS OF WORK:
-Normal hours of work are 35 hours/week. Weekends are required on a rotating basis (1 of 3 or 1 of 2 weekends). Shift times vary from 6:00am, 6:30am and 9:00am start times. 
- Occasional overtime may be required with little notice based on staffing needs.

WAGE RANGE:         $49,703 - $58,146 per annum with excellent fringe benefits
