Works Control Clerk

Our Facilities & Capital Infrastructure Department has an opening for a temporary full-time Works Control Clerk. This is a unionized position reporting to the Capital Projects Manager.

Residents’ health care needs are served by Quinte Health Care Corporation (QHC) and family health teams throughout the County. QHC runs three hospitals in the Town of Bancroft and cities of Belleville and Quinte West. It also owns and operates a hospital in Picton in Prince Edward County.

DUTIES: 
•    Inspect work completed by contractors and provide reports to supervisor on status.
•    Maintain contact with all contractors and vendors regarding status of job completion, contract holdbacks, performance securities, back and change orders, liability insurance, and Workplace Safety Insurance Board (WSIB) status and ensure compliance with Health and Safety policies.
•    Schedule all work and issue proper notice to tenants while adhering to the Residential Tenancy Act.
•    Research and investigate Green Energy programs and products.
•    Work with internal departments (Purchasing/Treasury) and external agencies.
•    Track work in progress and verify invoices and process payments to contractors and vendors.
•    Design and complete detailed reports identifying jobs completed and capital expenditure status.
•    Maintain records of contracts issued, tenders, quotes and warranties.
•    Coordinate all inspection reports, licenses and correspondence and ensure relevant staff has this information.
•    Assist in preparation of tender and quotation correspondence, including providing notices to tenants regarding work to be completed and acting as liaison between tenants and contractors.
•    Respond to inquiries regarding capital jobs.
•    Perform clerical duties such as data entry and filing.
•    Other duties as may be required from time to time.

 

QUALIFICATIONS:
•    Post-Secondary School Diploma, Degree or Certificate in Business Administration, Accounting or Office Procedures, or an equivalent combination of relevant education and experience.
•    Technical knowledge of building maintenance, construction and repair, including a familiarity with local building codes and standards for construction and building design.
•    Knowledge of the Residential Tenancy Act is an asset. 
•    One year prior experience with tenders and quotes, purchasing requirements, coordinating contractors and inspecting work performed by contractors
•    Proficient use of Microsoft Word and Excel as well as YARDI Property Management software
•    Good knowledge of building construction and maintenance terminology and tendering procedures.
•    Excellent typing skills.
•    Ability to effectively communicate both orally and in writing.
•    Strong interpersonal skills and a demonstrated ability to work with all levels of staff in the organization and with external groups, agencies and/or individuals.

 

HOURS OF WORK:

  • Normal hours of work are Monday to Friday, 8:30 a.m. to 4:30 p.m. (35 hours/week).

 

WAGE RANGE:    $50,225.95 - $55,184.91 per annum
